Green Coffee Buyer Assistant

Location: Fully remote but must be located in any Central American country or Mexico

Department: Sourcing

Reports to: Senior Green Coffee Buyer

Status: Full Time/ Contractor

Cafe Imports, a developer and importer of fine specialty green coffee, seeks a highly motivated individual to join the green coffee sourcing team. This is a new position that we are creating to supportour ever-growing buying needs. Position Summary

In this role, the individual will provide operational and field support to the Senior Green Coffee Buyer across multiple origins. This position serves as a vital link between producers, exporters, and the Cafe Imports buying team—ensuring smooth purchasing operations, accurate traceability, and strong producer relationships.

 A secondary component of this role includes assisting with supporting coffee sourcing liaison activities and contributing to Marketing with field-based origin content (as time allows).

 

Key Responsibilities

1. Green Coffee Operations Support

Provide administrative and operational support to the Senior Green Coffee Buyer.

• Process and maintain purchase contracts, ensuring accuracy and timely entry.
• Track shipments, inventory, and cupping results; coordinate pre-shipment and offer samples to international sales offices and customers.
• Support Green Buyers directly through:
  • Administrative tasks
  • Buy plan creation and maintenance
  • Organization of purchasing schedules and deliverables
  • Communication with counterparties (suppliers, exporters, cooperatives)
  • Communication with Supply Chain, Sales, and Marketing teams as needed
  • Filling in for Green Buyers when required for sourcing activities (communicating with sourcing partners and Sales team)
  • Coordinate multiple active origins as needed.Provide seasonal overflow support during peak workload periods.
  • Assist the Senior Green Buyer with purchasing, sampling, and lot distribution for all coffees sourced.
  • Travel as needed to assist with sourcing, operations, or fieldwork.Take more Green Buying responsibilities over time as needed (not an immediate expectation).

 

2. Coffee Sourcing Liaison (Secondary Role)

Support Coffee Origin Trips for customers as needed, including pre-trip planning, on-the-ground logistics, and post-trip follow-up.

• Coordinate with Green and Sales teams to identify customers and plan itineraries.
• Manage in-origin logistics, reservations, and on-the-ground coordination.
• Serve as local liaison, translator, and point of contact during trips.
• Assist with customer cupping coordination and post-trip reporting.

 

3. Marketing & Communications Support (Secondary Role)

Assist the Marketing team in capturing and sharing origin-based stories and content from supported origins.

• Collect photos, videos, and written notes during field visits.
• Provide producer profiles, updates, and testimonies.
• Support Marketing in verifying information about producers, regions, and operations.

 

Knowledge, Skills and Abilities

• Bilingual: fluent in Spanish; English proficiency required.
• Must be located in any Central American country or Mexico
• The ability to travel the U.S. & internationally is 100% essential for this position.
• Strong mathematics and analytical skills
• Excellent communication, relationship management, and follow-through skills.
• Strong organizational skills and attention to detail.
• Ability to manage multiple priorities and execute with minimal supervision.
• Proficiency in data entry, recordkeeping, and logistical coordination.
• Field-oriented mindset with the ability to travel to remote areas and work directly with producers.
• Knowledge of coffee production, processing, and quality standards.
• Problem-solving and troubleshooting abilities.
• Comfortable using Google Sheets, Excel, and digital coordination tools.
